When a Conversation AI agent booked an appointment, it offered slots in the contact's saved time zone, or in the business time zone if none was saved. It never checked. A homeowner in Denver booking with a business in New York saw New York times, picked the wrong hour and missed the visit.
Now the agent confirms the contact's time zone before it shows any slots. It works the zone out from the city or address the contact shares, asks only when it can't tell, saves it on the contact and offers every slot in the contact's local time.
- Confirms the time zone before showing slots: Before offering any times, the agent makes sure it knows which time zone the contact is in. If it can't tell, it asks.
- A city or country is enough: Contacts don't need to know time zone names. "I'm in Denver" or a Denver street address resolves to America/Denver.
- Clarifies when a place spans several zones: "Texas" or "Australia" covers more than one time zone, so the agent asks for the nearest city.
- Reuses what it already knows: If the contact already has a valid time zone saved, or mentioned one earlier in the chat, the agent uses it and doesn't ask again.
- Saved on the contact: The time zone is written to the contact's standard Time Zone field through the Contact Info action, and is used for slots, booking and every later booking or reschedule.
- The right hour on your calendar: Slots are shown in the contact's time zone, and the reply names the zone. The appointment lands on the business calendar at the matching time, so 10:00 AM in Denver books as 12:00 PM EDT.
- Respects contacts who prefer not to say: Booking continues in the business time zone, the agent says which zone the slots are in, and nothing is saved on the contact.
- Prompt-based Conversation AI agents in Auto-Pilot mode.
- Single and Multi calendar booking: slot fetching, booking and rescheduling.
- Enable Conversations AI | Advanced Time Zone Support under Settings → Labs.
- Open your agent and go to Actions → Contact Info.
- Add the standard field Time Zone and save.
- Keep the Appointment Booking action on. In your prompt, ask the agent to confirm the contact's time zone before showing any times.
- Test the agent in Test your agent.
- Fewer missed appointments: Contacts book in their own time, not the business's.
- No manual time zone fixes: The zone is captured in the chat and saved on the contact.
- Consistent rescheduling: Every later booking and reschedule uses the saved zone.
Advanced Time Zone Support is available in Labs. Enable it under Settings → Labs → Conversations AI | Advanced Time Zone Support.
